Work Orders
Work orders are the core workflow of Pro Shop. Every drilling job, plug, resurface, or repair gets tracked as a work order with a clear status pipeline so nothing falls through the cracks.
Creating a New Work Order
Tap the + button on the Work Orders screen to start a new order.
Select Customer
Search for an existing customer or create a new one on the spot. The customer's PAP and grip preferences are pulled in automatically.
Select Ball
Choose from the customer's existing ball inventory or add a new ball. If the ball is from your shop inventory, it will be linked automatically.
Describe the Work
Select the type of work (new drill, redrill, plug & redrill, resurface, repair, thumb slug, finger inserts) and add any special instructions or notes.
Set Layout (Optional)
If drilling, use the built-in layout calculator to set the drilling angle, pin-to-PAP distance, and VAL angle. The layout is saved to both the work order and the customer's ball record.
Save
Tap Create Work Order. The order starts in Pending status.
Work Order Statuses
Every work order flows through four statuses:
The order has been created but work has not started. The customer has dropped off the ball or the ball is awaiting prep.
You are actively working on the ball. Drilling, plugging, resurfacing, or any hands-on work is underway.
The work is done and the ball is waiting for the customer. If notifications are enabled, the customer receives an alert.
The customer has picked up the ball and the order is closed. Completed orders remain in the customer's history for reference.
To advance a work order, open it and tap the status button at the top. You can also drag cards between columns in the Kanban view.
Adding Notes & Photos
Each work order has a notes section where you can:
- Add timestamped text notes at any stage of the process.
- Attach photos of the ball, layout markings, or finished drill.
- Record issues or customer feedback for future reference.
Tip
Photos are especially useful for documenting the pin and CG markings before drilling. If the customer ever needs an identical layout on a new ball, you have a visual reference.
Tracking Turnaround Time
Pro Shop automatically tracks the time between status changes. On each work order you can see:
- Created date — when the order was first entered.
- Time in each status — how long the ball sat in Pending, In Progress, and Ready for Pickup.
- Total turnaround — elapsed time from creation to completion.
This data helps you identify bottlenecks and set realistic expectations with customers about wait times.
Kanban View
The Work Orders screen offers a Kanban board view with columns for each status. This gives you a bird's-eye view of everything in your shop at once.
- Drag and drop — move cards between columns to update their status.
- Color-coded cards — cards show the customer name, ball name, and work type at a glance.
- Count badges — each column header shows how many orders are in that status.
Tip
The Kanban view is perfect for displaying on a shop monitor so you and your staff can see the current workload without opening the app on your phone.
