Invoices
Invoices help you track what students owe for coaching sessions. When you complete a session, an invoice is automatically generated based on the session fee. You can then track payment status and keep your coaching finances organized.
Invoice Tabs
The Invoices screen is organized into three tabs:
- Outstanding — invoices that have not been paid yet. This is your default view so you always see what is owed.
- Paid — invoices that have been marked as paid.
- All — every invoice regardless of status.
How Invoices Are Created
Invoices are automatically generated when you mark a session as complete. The invoice amount is based on the session fee, which is calculated from your hourly rate and the session duration. You can adjust the fee on the session before completing it if needed.
Complete a Session
When you mark a session as complete, an invoice is created with the session fee, student name, date, and session type.
Review the Invoice
The invoice appears in the Outstanding tab. Tap it to see the full details.
Collect Payment
Collect payment from your student using your preferred method (cash, Venmo, check, etc.).
Mark as Paid
Tap Mark as Paid to move the invoice to the Paid tab and update the student's balance.
Tracking Payment Status
Each invoice shows its current status:
- Outstanding — payment has not been received.
- Paid — payment has been received and marked.
The Outstanding tab also shows a total balance at the top so you can see the total amount owed across all students at a glance.
Tip
Get in the habit of marking invoices as paid right when you receive payment. This keeps your records accurate and makes it easy to see who still owes at any time.
